Custom workflow automation + software integration
Stop copying information between tools—and stop chasing the next step.
Ilo Sona builds dependable automations, integrations, and lightweight internal tools for owner-led service businesses and small operations teams. Start with a free 20–30 minute fit call. When the next decision needs more evidence, the optional $250 Workflow Improvement Blueprint gives you a standalone analysis before you commit to implementation.
No system access or credentials needed for the first conversation.

Visible next actions
Illustrative pattern, not a claimed client result. Every build is scoped around the client's systems, rules, exceptions, and acceptance checks.
A bounded path forward
Start free. Pay only for the next useful decision.
The Blueprint is optional. If scope and technical feasibility are already clear, the fit call can lead directly to a fixed Automation Pilot proposal.
Workflow Fit Call
Twenty to thirty minutes on the workflow, systems, desired outcome, budget, and obvious constraints.
No credentials neededIs the right build already clear?
Scope and technical feasibility determine the next useful step.
Example automations
Remove the handoffs your team keeps babysitting.
These are demonstration patterns, not client case studies or claimed results. Every real build is scoped around the client’s systems, rules, exceptions, and acceptance checks.
Website inquiry to assigned follow-up
A form submission sits in an inbox while someone copies it into a CRM and decides who should respond.
The inquiry is checked, recorded, routed, and followed by a visible next step—with exceptions flagged for review.
Signed proposal to project setup
Folders, tasks, kickoff notes, and client reminders are rebuilt by hand after every signed agreement.
One approved event creates the standard project structure and tells the right people what still needs a decision.
Invoice intake to approval
Invoices arrive in different formats and staff chase missing details before routing them for approval.
Documents are organized, required fields are checked, and incomplete or unusual items are sent to a human queue.
Spreadsheet data to weekly reporting
Someone cleans the same exports, rebuilds totals, and looks for unusual changes every week.
A repeatable process prepares the report, highlights anomalies, and leaves the final review with the owner.
Before you pay to build
Know what should change—and what should stay human.
The Workflow Improvement Blueprint is a fixed-price analysis for one workflow when the problem is real but the right process, tool, or automation is not yet clear. If the path is already clear, you can move directly from the free fit call to a Pilot proposal.
Fixed fee · one named workflow
Up to four systems or team handoffs
What you receive
- 01A current-state map of one named workflow
- 02Clearly labeled evidence, assumptions, and unknowns
- 03Estimated cost exposure with low, base, and high scenarios
- 04An automation-fit assessment for each workflow step
- 05A prioritized 30-day action and measurement plan
- 06A bounded Pilot outline when implementation is justified
Delivered within two business days after payment, a working session of up to 60 minutes, and complete inputs. Includes a written Blueprint, a 15-minute readout, and one factual-correction round. Cost and opportunity scenarios use client-provided information and identified assumptions; they are not audited losses or guaranteed savings.
The recommended first build
One contained workflow, priced after fit.
Automation Pilots typically range from $1,500–$4,000. Final pricing depends on the systems involved, workflow complexity, decision logic, exception handling, and deployment requirements. You receive a fixed written quote and timeline before implementation begins.
A fixed proposal before work begins
Standard payment: 50% to start · 50% after acceptance checks
Standard Pilot boundaries
- 01One contained workflow with clear inputs and outputs
- 02A small number of systems confirmed during scoping
- 03Agreed decision rules, exception paths, and acceptance checks
- 04One production deployment with realistic testing and failure alerts
- 05Documentation plus one recorded handoff
- 06A 14-day warranty for defects against the agreed acceptance checks
A low-friction way to start
Start free. Approve only the work you want.
- 01
Free Workflow Fit Call
Spend 20–30 minutes on the process, systems, desired outcome, budget, and timeline. No credentials, commitment, or detailed consulting session.
- 02
Choose the right next step
Receive a concise recommendation: no action, a direct fixed Pilot proposal, or the optional $250 Blueprint when deeper analysis would improve the decision.
- 03
Approve only the work you want
A Blueprint produces a standalone written analysis. A Pilot begins only after you approve its separate scope, acceptance checks, timeline, and fixed price.
Built to be dependable—not brittle
Keep ownership and oversight where they belong.
Integration options are verified before commitments are made. Unsafe or unreliable paths are declined, and technical limitations are documented before a build begins.
Delivery safeguards
- 01Clients retain control of accounts, credentials, and MFA
- 02Exceptions and failure alerts are part of the workflow
- 03Production changes require approval
- 04Documentation and handoff materials are included
- 05Access is removed when it is no longer needed
Engagement options
Useful pricing signals without pretending every workflow is identical.

01Who is the best fit?+
Ilo Sona is built for owner-led service businesses and small operations teams that have outgrown manual handoffs between forms, inboxes, spreadsheets, CRMs, and project tools. A good first project is repeatable, has a clear owner, and can be tested against an observable result.
02What happens during the first conversation?+
The Free Workflow Fit Call is a 20–30 minute conversation about the process, systems, desired outcome, frequency, budget, timeline, and obvious constraints. No credentials or production access are needed. It establishes fit at a high level; it does not include the detailed workflow map, cost-exposure scenarios, automation-fit assessment, or ranked action plan included in the paid Blueprint.
03What happens after the free fit call?+
You receive a concise recommendation: no action, a direct fixed Pilot proposal when the path is already clear, or the optional $250 Workflow Improvement Blueprint when deeper analysis would improve the decision. You never have to buy the Blueprint just to receive a quote.
04What access will Ilo Sona need?+
Access is requested only after scope and safeguards are agreed. Clients keep account ownership and MFA. We use collaborator roles, test environments, or another approved access method—not passwords sent by email—and remove access after handoff when it is no longer needed.
05Who owns the finished work?+
The written project agreement states ownership before work begins. The normal goal is a client-controlled result: client-owned accounts, delivered documentation, and exports or repository access where the chosen platform allows it. Third-party software keeps its own license terms.
06What if an integration is not technically possible?+
We verify supported APIs, webhooks, exports, permissions, and approved connectors before committing to a build. If a reliable path does not exist, we may recommend a human checkpoint, a different tool, a smaller custom layer, or not automating the process. You are told that before implementation begins.
07Do I have to buy the Blueprint before an Automation Pilot?+
No. When scope and technical feasibility are already clear, the free fit call can lead directly to a fixed Pilot proposal. The $250 Workflow Improvement Blueprint is useful when you want a defensible workflow map, opportunity analysis, and action plan before deciding whether to build. It is a complete standalone engagement, and a process-only or no-build recommendation is a valid outcome.
08What counts as a defect or a new request?+
A defect is agreed behavior that fails the written acceptance checks under the documented conditions. A new system, trigger, branch, output, business rule, migration, dashboard, portal, or changed third-party behavior is a new request and is estimated separately.
09What is outside an Automation Pilot?+
Historical data migration, custom dashboards, client portals, large database cleanup, regulated or payment-card data, scraping, cold email or SMS operations, safety-critical systems, and 24/7 support are not included. Multiple workflows or broader software may fit a Custom Operations System after discovery.
10What happens after delivery?+
The Pilot includes a 14-day defect warranty. After that, the client can request separately scoped work or use Reliability Care for up to two named workflows. Another developer can maintain the work using the delivered documentation and available source or exports.
